ClubTree ("ClubTree," "we," "our," or "us") is a club management platform operated by Webb Consulting LLC, a Virginia limited liability company doing business as ClubTree.
We are committed to protecting the privacy of the organizations that use our platform, as well as their members, applicants, volunteers, and website visitors.
This Privacy Policy explains what information we collect, how we use it, when we share it, and the choices available to organizations and individuals who use ClubTree.

Our Privacy Principles
- Organizations own and control their own data.
- ClubTree processes information only to provide the services requested by each organization.
- We never sell personal information.
- We never share one organization's data with another organization.
- We collect only the information necessary to operate and improve the platform.
- We use trusted service providers to securely host and deliver the Service.
Organizations and ClubTree
Organizations determine what information they collect, how it is used, and how long it is retained. ClubTree provides the technology used to host, process, and manage organizational information. For most personal information stored within the Service, the organization acts as the data controller while ClubTree acts as a service provider (or processor, where applicable).
Information We Collect
Organizations may store names, contact information, photographs, membership records, attendance, applications, newsletters, documents, event registrations, volunteer information, and other information they choose to maintain. We also collect limited technical information such as IP addresses, browser type, device information, session identifiers, timestamps, diagnostic logs, and security logs to operate and secure the Service.
Payment Information
When you subscribe to a paid plan, billing is processed by Stripe, our third-party payment processor. Stripe collects and stores your payment card details directly — ClubTree does not receive or store your full card number. We retain only limited billing-related information necessary to manage your subscription, such as your selected plan, billing history, and Stripe customer and subscription identifiers.
Stripe's handling of your payment information is governed by Stripe's own privacy policy, available at stripe.com/privacy.
Payment Information for Organizations
ClubTree does not collect or store payment card numbers for organization-specific payments. Payments for organization events or dues are processed directly by third-party payment providers selected by each organization.
How We Use Information
We use information to host organization websites, manage memberships, process applications, manage attendance, send newsletters and communications, provide customer support, maintain platform security, prevent fraud, troubleshoot issues, and comply with legal obligations. To process subscription payments and manage billing, we share necessary account information with Stripe, our payment processor. We do not sell personal information or use it for advertising.
Data Ownership
Organizations retain ownership of all information they upload to ClubTree. ClubTree processes and stores organization data solely to provide the requested services.

We may update providers as the platform evolves. We may also disclose information when required by law or to protect the platform, customers, or others. We never sell personal information or share one organization's data with another.
Cookies and Similar Technologies
We use essential cookies and browser storage only to maintain secure sessions, keep users signed in, and remember preferences. We do not use advertising or third-party analytics cookies.
Email Communications
ClubTree sends emails on behalf of organizations. Email providers may temporarily retain limited delivery metadata solely to ensure reliable delivery and troubleshoot issues.
Data Retention
Organization information is retained while accounts remain active. Deleted information is removed from the live platform, with limited backup retention. Certain records may be retained where required by law or for security purposes. Billing and subscription records are retained for the duration of your account and as needed to meet accounting, tax, and legal obligations.
Account Closure and Data Export
Organizations may request an export of their information before account closure.
Security
We use HTTPS encryption, authentication safeguards, role-based permissions, secure cloud infrastructure, regular software updates, limited administrative access, and monitoring for unauthorized access. No system can guarantee absolute security.
International Data Processing
Information may be stored and processed in the United States or other countries where our trusted service providers operate.
Your Rights
Requests to access, correct, or delete personal information should generally be directed to the organization that collected it. We assist organizations in responding to applicable privacy requests.
Children's Privacy
ClubTree is not directed toward children under 13 and does not knowingly collect personal information from them.
Changes to This Privacy Policy
We may update this Privacy Policy periodically. Material changes may be communicated through the Service or by email.
