ClubTree ("ClubTree," "we," "us") is a club management platform operated by MW Global LLC, doing business as ClubTree, a Virginia limited liability company. This policy explains what information we collect, how we use it, and the choices you have.

The short version

  • Each club on ClubTree controls its own members' data. ClubTree processes that data on the club's behalf.
  • We never sell personal information. We never share one club's data with another club.
  • We collect only what's needed to run the service, and we use trusted providers (listed below) to host, store, and deliver it.

How ClubTree works: clubs and the platform

ClubTree hosts websites and management tools for membership clubs (such as Rotary clubs). This creates two roles:

  • Your club decides what information to collect from its members and applicants, and how to use it. For questions about why your club collects something or to ask your club to correct or delete your information, contact your club directly.
  • ClubTree (MW Global LLC) provides the software and infrastructure. We process club data only to operate the service, at the club's direction.

Information we collect

Information clubs and their members provide:

  • Member records: name, contact details, photo, occupation, birthday, and profile details a member or club administrator chooses to add.
  • Membership applications: name, contact details, and application answers, including optional profile details an applicant submits.
  • Club operations data: meeting attendance, club roles and titles, dues invoice records, and club content (news posts, events, service projects).
  • Newsletter subscriptions: name and email address of people who subscribe to a club's updates.

Information collected automatically:

  • Basic technical data needed to run the service: log data, IP addresses, browser type, and session information.
  • Essential cookies (see "Cookies" below).

We do not collect payment card numbers. Where dues payments are offered, payment occurs on the payment provider's own pages (for example, a QuickBooks payment link), not on ClubTree.

How we use information

  • To provide the service: club websites, member directories, applications, event calendars, attendance, dues visibility, and club emails.
  • To send emails on a club's behalf: application confirmations, membership communications, meeting reminders, and newsletters. Recurring emails such as meeting reminders include an unsubscribe option.
  • To secure and maintain the platform, prevent abuse, and debug problems.
  • To comply with legal obligations.

We do not use club or member data for advertising, and we do not sell it.

Who we share information with

We share information only with service providers ("subprocessors") that help us run ClubTree:

Each provider processes data only as needed to provide its service. We may also disclose information if required by law, or to protect the rights, safety, or property of ClubTree, our clubs, or others.

We never share one club's data with another club, and we never disclose member data to third parties for their own marketing.

Cookies

ClubTree uses only essential cookies and similar storage: keeping you signed in, securing your session, and remembering basic preferences. We do not use advertising or third-party analytics cookies. Because these cookies are strictly necessary, the service cannot function without them. If we ever introduce non-essential cookies, we will update this policy and provide appropriate choices first.

Data retention

  • Club and member records are retained while the club's account is active and as directed by the club. Clubs can delete applications and remove members, which deletes or deactivates those records.
  • When information is deleted by a club, it is removed from the live service; residual copies may persist in backups for a limited period before being purged.
  • We retain limited records where required for legal or security purposes.

Security

We use industry-standard measures to protect information, including encrypted connections (HTTPS), access controls that restrict each club's data to that club's authorized users, and role-based permissions inside each club. No method of storage or transmission is 100% secure, but we work to protect your information and to respond promptly to any issue.

Your choices and rights

  • Members and applicants: to access, correct, or delete your information, contact your club's administrators — the club controls its records. You can also contact us at info@clubtree.app and we will assist or direct your request to the club.
  • Email recipients: recurring club emails (such as meeting reminders and newsletters) include unsubscribe options. Transactional emails (such as an application confirmation) are sent only in response to your own actions.
  • Virginia residents: the Virginia Consumer Data Protection Act provides certain rights regarding personal data. To exercise applicable rights, contact us at info@clubtree.app.

Children

ClubTree is intended for adult club members and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact info@clubtree.app and we will delete it.

Changes to this policy

We may update this policy as the service evolves. We will post the updated version on this page with a new effective date, and for material changes we will provide notice through the service or by email to club administrators.
